Administrative Assistant
Position Summary
The Dupont Group is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide comprehensive administrative support to the President of the organization while also supporting operations for a trade association. This position requires exceptional communication skills, strong time management, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate will be a self-starter who thrives in a collaborative setting and is comfortable coordinating executive schedules, managing administrative projects, and supporting mission-driven initiatives focused on healthcare transformation and stakeholder engagement.
Key Responsibilities
Executive Support to the President
- Manage and coordinate the President’s calendar, appointments, meetings, and travel arrangements.
- Prioritize scheduling requests and ensure efficient time management for executive activities.
- Editing correspondence and other written materials
- Prepare meeting agendas, materials, presentations, and follow-up documentation.
- Coordinate board meetings, executive meetings, and special events.
- Maintain confidential records and sensitive organizational information with discretion.
Trade Association Administrative Support
- Provide administrative support for trade association operations and member communications.
- Coordinate meetings, webinars, etc.
- Maintain membership databases, records, and contact lists.
- Assist with the preparation and distribution of meeting minutes, agendas, and association communications.
- Support committee activities, meeting logistics, and minutes.
- Administrative support for training academy occurring throughout the year
- Coordinate relevant association needs for association events with the conferences and events team.
Qualifications
- Associate degree or equivalent professional experience preferred.
- Minimum of 3 years of administrative or executive support experience.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Ability to work independently and manage competing priorities.
- Experience supporting nonprofit organizations, associations, healthcare organizations, or grant-funded projects preferred.
- Professional demeanor and strong interpersonal skills.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Skills
- Experience with calendar management for senior executives.
- Familiarity with grant administration or healthcare-related initiatives.
- Event coordination and meeting planning experience.
- Database or membership management experience.
- Strong attention to detail and follow-through.
Work Environment
- This is an in-person position based at Dupont Group’s office location.
- The role requires regular on-site collaboration with leadership, staff, association members, and grant partners.
- Occasional travel or evening meeting support may be required.
